Below are a few helpful tips to ensure that you will have a great experience! Once you are onsite, you can also get assistance at our Registration Desk in the lobby. AIA Virginia and JEMS Hospitality staff will be available and happy to help during the following times:

Please ensure that the headshot and bio that are displayed on the website are what you would like to be used. You can click here to confirm. If any updates are needed, you can email Stacy Bullock to make those adjustments.
Event Badge/Registration

Please don’t forget to register yourself and your staff for badges for this event. You are welcome to attend any educational sessions throughout the 3-day conference. You can click here if you have not yet registered. Use the SPEAKER25 discount code on the payment screen for a 50% discount.
If you will ONLY be attending the session you are speaking at, select the package, “Speaker: Only Attending My Session”. There is no charge for this and will ensure that you have a name badge prepared for you at registration.
Stop by our Registration Desk to pick up your badge and conference materials before heading to your classroom. Your badge should be pre-printed and on the tables near the information desk. (They’ll be organized by last name.)

For optimal viewing, we recommend using widescreen 16:9 aspect ratio
Presentations should be received no later than Monday, October 20th. To simplify the process and accommodate large files, you can upload your presentation to our shared drive here. You are also welcome to email the file directly to me.
**Note that we are requesting your presentation in advance so that the A/V company can upload them and ensure everything runs smoothly at the event**.

All rooms will be set with crescent rounds and will accommodate approximately 42 attendees. Additional seating can be provided if needed.
Conference Logistics

Allow plenty of time for parking and check-in. You can find directions and parking information here. We recommend arriving at least 45 minutes before your session begins. You'll want to be in your classroom about 15 minutes in advance.
Check out the agenda online to verify your room number and session time, as some room numbers have changed. Take a look at the Richmond Marriott map to see where your session room is located.
Please take a moment to introduce yourself and any panel members to your audience at the beginning of your session.
At the end of your seminar, please remind attendees to complete the feedback survey and to scan the QR code to ensure they receive the appropriate credits.
